Why companies need A1 forms

An A1 form is the official proof of where social security contributions are paid, making it a mandatory requirement for employees working temporarily abroad. Companies risk fines and penalties from local authorities (also in connection of illegal work), while unclear coverage may lead to double social security contributions. Employees can also be blocked from entering worksites (such as events) during inspections, which disrupts projects and damages client relationships. In short, without A1 forms, international assignments may be at risk before they even begin.

How to stay compliant

Applying for A1 forms may look straightforward, but the process differs from country to country and often requires careful timing. To avoid complications, companies should plan applications well ahead of employee travel, keep proper records of all issued forms and make sure staff carry the documents with them abroad. The employee should travel always with A1 certificate issued (or at least with the confirmation of A1 form request filing), EU health insurance card (EHIC), ID card or passport, copies of important work documents, such as employment contracts (translated into the local official language or at least into English), and other necessary documentation.

For longer projects, it’s equally important to track expiry dates and renew forms in time.
